Privacy Policy

Avayo places great importance on the protection of your personal data. In this Privacy Policy, we aim to provide clear and transparent information about how we handle personal data.

We make every effort to safeguard your privacy and, therefore, handle personal data with care. Avayo complies with all applicable laws and regulations, including the General Data Protection Regulation (GDPR). This means that we, at the very least:

  • Processing your personal data in accordance with the purpose for which they were provided, these purposes and types of personal data are described in this Privacy Policy;
  • Limiting the processing of your personal data to only those data that are minimally necessary for the purposes for which they are processed;
  • Requesting your explicit consent when we need it for the processing of your personal data;
  • Taking appropriate technical and organizational measures to ensure the security of your personal data;
  • Not transmitting personal data to other parties unless necessary for the execution of the purposes for which they were provided;

Processing of personal data of Customers or Suppliers

Personal data of customers or suppliers are processed by Avayo for the following purposes:

  • Administrative purposes;
  • Communication regarding the assignment and/or invitations;
  • Executing or issuing an assignment.

The legal basis for this personal data is:

  • The agreed-upon assignment;

Avayo records data within the framework of its services when you purchase services and/or products from Avayo or otherwise have contact with Avayo.

Avayo uses this data to send you the purchased e-tickets and any other products and to inform you about the event/location for which you have purchased and/or reserved e-tickets. Avayo tries to take preferences into account.

For the above purposes, Avayo may request the following personal data from you:

  • First name;
  • Middle name (if applicable);
  • Last name;
  • (Business) Phone number;
  • (Business) Email address;
  • Gender

Your personal data will be stored by Avayo for the purposes mentioned above for the period:

  • During the duration of the agreement and thereafter only in the financial administration for a maximum of 7 years.

Processing of personal data of newsletter subscribers

The personal data of newsletter subscribers are processed by Avayo for the following purposes:

  • Informing the individual through newsletters.

The legal basis for this personal data is:

  • The Newsletter subscription form;

For the above purpose, Avayo may request the following personal data from you:

  • First name;
  • Middle name (if applicable);
  • Last name;
  • Email address

Your personal data will be stored by Avayo for the purpose mentioned above for the period:

  • During the period of subscription

Processing of personal data of prospects, stakeholder/lobby contacts, and/or interested parties

Personal data of prospects, stakeholder/lobby contacts, and/or interested parties are processed by Avayo for the following purpose(s):

  • Providing information in the form of newsletters and/or targeted contacts.

The legal basis for this personal data is:

  • Oral consent, provision of a business card, and/or via connection on LinkedIn;

For the above purpose(s), Avayo may request the following personal data from you:

  • First name;
  • Middle name (if applicable);
  • Last name;
  • Email address.

Your personal data will be stored by Avayo for the purpose(s) mentioned above for the period:

  • During the period that you are considered a prospect, stakeholder/lobby contact, and/or interested party.

Disclosure to third parties

The data you provide to us may be disclosed to third parties if necessary for the execution of the purposes described above.

For example, we use a third party for:

  • Providing the internet environment;
  • Sending emails;
  • Managing the (financial) administration;
  • Providing newsletters and invitations;
  • Managing our relationships (CRM).

We never disclose personal data to other parties with whom we have not entered into a data processing agreement. With these parties (processors), we naturally make the necessary arrangements to ensure the security of your personal data. Furthermore, we will not disclose the data you provided to other parties unless it is legally required and permitted. An example of this is when the police request (personal) data from us as part of an investigation. In such a case, we are obliged to cooperate and, therefore, obligated to provide this data. We may also share personal data with third parties if you give us written permission to do so.

Within the EU

We do not provide personal data to parties located outside the EU.

Retention period

Avayo does not retain personal data longer than necessary for the purpose for which it was provided or as required by law.

Security

We have taken appropriate technical and organizational measures to protect your personal data against unlawful processing. For example, we have implemented the following measures:

  • All individuals who have access to your data on behalf of Avayo are bound by confidentiality obligations.
  • We implement a username and password policy on all our systems;
  • We pseudonymize and encrypt personal data if there is a need to do so;
  • We create backups of personal data to restore them in case of physical or technical incidents;
  • We regularly test and evaluate our measures;
  • Our employees are informed about the importance of protecting personal data.

Rights regarding your data

You have the right to access, rectify, or delete the personal data we have received from you. You can also object to the processing of your personal data (or part thereof) by us or by one of our processors. Additionally, you have the right to have the data you provided to us transferred to yourself or, upon your request, directly to another party. We may ask you to identify yourself before we can comply with the aforementioned requests.

If we process your personal data based on your consent, you always have the right to withdraw this consent.

Complaints

If you have a complaint about the processing of your personal data, we ask you to contact us directly. If we cannot resolve the issue together with you, we naturally regret this. You always have the right to file a complaint with the Dutch Data Protection Authority, which is the supervisory authority for privacy protection.
